Salon No-Show Protection: Square Appointments, Fresha or Acuity?

For a US salon, no-show protection is a workflow decision before it is a brand decision. Compare whether clients pay upfront, leave an authorized card for a possible later fee, or simply confirm an appointment. Then check how the same policy behaves for online bookings, front-desk bookings and rescheduling.

Square Appointments

Square's US support guide documents prepayment and card-hold policies, a cancellation cut-off and enforcement of a fee when appropriate. It also warns that a card can decline. Check current Appointments plan availability rather than assuming every feature comes with every account.

Fresha

Fresha describes deposits and card capture through payment policies, with Fresha Payments enabled. Its fee workflow depends on the policy accepted for the appointment. Check the account's rules for refunds and extra charges.

Test long and short services separately. A booking payment is only one part of a usable calendar: staff availability, appointment buffers and service duration must also reflect the way the salon works.

Run a one-week workflow trial

  1. Create sample services with different lengths and prices.
  2. Book as a new client and record the policy shown before confirmation.
  3. Enter an appointment at the front desk and test the payment request.
  4. Reschedule before the chosen cut-off and inspect the payment record.
  5. Simulate a late cancellation using the provider's supported testing method.
  6. Check an incomplete or declined payment request.
  7. Have the manager demonstrate a salon-initiated cancellation and refund.

Record how many steps each staff role needs. Do not test on a real client's card without appropriate authorization. A documented workflow that staff can use consistently matters more than a long feature list.

Measure the effect beyond recovered fees

Track booking completion, missed visits, late cancellations, refunded payments and front-desk effort. Compare similar services over comparable periods. Recovered fees are useful, but a policy that discourages more good bookings than it protects can still be a poor fit.

Illustrative calculation: five missed $100 appointments represent $500 of booked revenue. A hypothetical $25 upfront amount across those visits is $125 collected, not proof of $125 incremental profit. Count actual attendance and policy outcomes before attributing a benefit to the software.

No. A card can fail when charged, and collection depends on the policy and provider workflow. Give staff a clear process for exceptions.

Can a deposit replace reminders?

They solve different problems. A client still needs a clear appointment time and a usable rescheduling path. Test messages and payment rules together.
